ROTOITI 15 TRUST -DIGITAL  HUI Ā TAU 2021

Every year we look forward to our AGM- it's a chance to both celebrate our relationships to each other, our whenua, our marae, hapū and iwi; and  a forum where whānau can ask questions, and hold the Trust accountable for how it is looking after our whenua on behalf of all of us.

This years Covid-19 landscape has meant we have had to re-look at how we deliver this information for our people.

The Trusts priority is to protect our whānau, marae, hapū and iwi, and most importantly our whakapapa.

As such, this year the Trust has made the decision to substitute our in person hui for an online version on Tangaroa ā Kiokio o Whiringa ā Rangi (28 November 2021) and deliver this information digitally via a live stream presentation.  

We will also be putting out information on our FB page, via email, and most importantly the full annual report will be made available online or can be picked up from our office in town.  We will even pop a copy in the post to you(especially our koeke) upon request.

Over the next month we will update you on how you will be able to connect to this livestream and participate in the presentations of this years annual report.

Why has Rotoiti 15 decided to hold the AGM in a digital format this year?

Rotoiti 15 decided to substitute our usual in person hui with a digital format this year as a response to the current Covid 19 landscape and uncertainty around what the Covid Level restrictions will be at November 28 (our planned hui date). At the time the Trust made its decision –Covid Alert Level 2restrictions restricted our hui to 100 people (when we usually receive around250 at our AGMs and elections).  

After much consideration, the Trust decided an online presentation of our annual reports (instead of our usual hui in person) was the best course of action to protect our whānau, marae, hapū and iwi, and most importantly our whakapapa.

Will we be able to hold elections/vote online?

Our Trust deed doesn't provide for online voting/hui. We are exploring the best format to allow our whānau to ask questions but there will be no formal resolutions/voting. This also means elections will be postponed until 2022.

What if Covid Levels change in time for the hui to go ahead?

Due to the scale of our Trust and number of whānau who whakapapa to our whenua, preparation for our hui starts months in advance. This includes everything from advertising, candidates evenings, report design and printing, arranging marquee and sound equipment. Marae hosting the event also prepare months in advance to host the 250 of our R15 whānau members who attend each year. This means the Trust needed to make a decision in early October as to whether to proceed or otherwise with the usual format.

How will I be able to be informed about the Trusts performance this year?

The Trust values the importance of transparency and accountability for all our whānau who whakapapa to the whenua. For this reason, this year the Trust will be delivering this information digitally via a live stream event. We will also be putting out communications on our FB page, via email, and most importantly the full annual report will be produced as per usual and made available online or can be picked up from our office in town. We will even pop a copy in the post to you (especially our koeke) upon request.
